Pagan Pride UK is a non-profit organisation and by getting involved and bringing your stall to the festival you are directly contributing to making the event happen in so many ways! Please read through the info below and if there’s anything that’s not answered here, just get in touch.
Catering Vendors: If you are a food or drink vendor wishing to enquire about trading at the Pagan Pride UK festival please contact us directly at firstname.lastname@example.org as different operating policies are in place. This booking form is for retail traders and service providers only.
Please note that we are unable to book other alcohol-selling vendors.
Trading at other PP Events: If you’d like to trade at one of our fundraisers or community events please contact email@example.com
Operating as a Trader:
All traders/service providers must have their own public liability insurance to trade. Any goods/trade disputes will be between the trader and the customer, Pagan Pride UK accepts no legal responsibility.
Only one trader/business may operate from a single pitch. Multiple traders are permitted on network pitches only, by prior arrangement; please contact via email to discuss.
Due to council restrictions at the venue NO WEAPONS ceremonial or otherwise are permitted on site – if you have athames or swords or anything that would be considered a weapon among your stock - PLEASE DO NOT BRING THEM. Thank you for your co-operation and understanding. If needs be we would advise instead bringing colour photographs / brochures of such items for customers to mail order.
All members of your pitch wishing to act as a trader during the event must be in possession of a traders pass, which must be clearly displayed at all times as proof of your booking. Please choose how many traders passes you will require for your party, on the booking form. Any person found operating a stall or offering services without a traders pass will be queried, and if no proof of booking can be produced they will be asked to cease trading and leave the event.
Booking Terms & Conditions : By submitting your traders booking form you are declaring all the information you provide to be accurate. You are also declaring that you have read and agree to all the notes and conditions listed below in the FAQ relating to the booking of this pitch. If any details should change you are required to notify the Event Organisers straight away.
Community and Information Stalls: If you have a non-commercial info stand, a promotional stall connected to a non-profit/charitable organisation, community project or awareness campaign and you’d like bring it to Pagan Pride UK as part of our Community Networking Area – you may be eligible for a discount. Please email firstname.lastname@example.org for more information. Approved stalls will be issued with a booking reference and handled directly by the Community Networking liaison.
Choosing your Trading Pitches:
Here’s some info that will help in booking the right type of pitch. Book your space in 3m x3m blocks starting @£40 and add on your trade options @£40 each. Here's how...
HOW MUCH SPACE DO I BOOK?
Pitches are listed on the booking form in three standard sizes based on a 3m x 3m gazebo and multiples thereof: 3m x 3m, 3m x 6m, and 3m x 9m. This is a fully customisable space, not just a frontage. One of the advantages of being at an outdoor event like this is 360* trading! If you’d like advice on how you can make the most of this – email our Traders Liaison.
Remember: Pitch size MUST be sufficient to fit all of your stalls, displays, etc in a safe manner for the public. Failure to do so will result in a forced increase of pitch size on the day, and appropriate charges levied. For especially large or odd shaped stalls, please contact us directly to discuss and we can advise you further.

WHAT IS YOUR TRADE?
In addition to size, options are also listed with the types of trades you wish to operate from your stall. You'll need to book for each trade type you offer at £40 each.
RETAIL covers the sale of any physical goods or wares from your pitch.
For example; selling your handmade pottery. If this is your only revenue stream then you need book the retail option at £40 on top of your pitch space.
SERVICES are charged PER PERSON providing a service, including but not limited to; tarot reading, mediumship/psychic readings, alternative therapies such as massage, reiki and ear candling, crystal healing, body art etc. (as explained above, you must have sufficient public liability insurance to cover all activites/services you are providing).
For example: If you are a solo Tarot Reader, then you'll need to book for one service provider on top of your pitch space. If both you and your reiki therapist colleague are going to be operating from the same pitch then you need to book two service providers at £40 each on top of your pitch space.
For RETAIL & SERVICES operating from the same pitch you'll need to make sure your booking covers all activities trading from your stall.
For example; if you have a 3m x 3m gazeebo, sell goods and offer henna body art, you'll need to book space @£40 + retail @£40 + one service provider @£40, making your stall price total = £120
A basic plot size (3m x 3m) should be enough room for a single therapy bed/chair or table/chair arrangement for reading. If you require either more space, or have more service providers than are listed in the options, please contact us directly to arrange a custom booking.

Please note: pitches are space only; this means the trader will be responsible for supplying all necessary tables, chairs, racks or rails they will need on their pitch. We are hoping for good weather but please prepare for anything, and we suggest that you bring a waterproof covering to protect your stock in the event of rain. Traders are permitted to erect canopies/gazebos etc as long as all structures are temporary and are pitched within the allotted space and are of sound structure. Structures deemed to be unsafe for the public must be made sound or removed.
The traders' ground has a varying gentle slope depending on pitch location. We recommend bringing tables with adjustable leg length, but if you have a specific need for level ground due to delicate stock then please notify us in the extra information/comments box on the booking form, giving details.
We are unable to provide power to any of the stalls, as this is an outside event.
Booking & Payment
Online: On submitting the online booking form, you’ll be directed to a page containing links to Paypal where you can make your payment. When your payment is complete you'll be redirected back to the website.
You do not need a Paypal account to use this service. You can make a one-off secure payment using your credit or debit card. After you have completed payment, Paypal will send you a receipt; please retain this for your records and we recommend you bring a copy with you to the event as proof of purchase should any discrepancies arise.
Once we’ve received your booking and payment confirmation from Paypal, we’ll email you and let you know your booking is confirmed, ask you to check the details and issue you with a booking reference. Please use this reference in any further correspondence as it will aid our admin team in dealing with your query more efficiently.
Cheque by Post: If online payment is not for you, don’t worry you can pay by cheque and send us your payment via good old fashioned post. Please complete the booking form as normal and choose the ‘Personal Cheque in the Post’ option from the drop down box. On the payment link page click ‘PAY BY CHEQUE” and have a pen and paper ready to take down the address to send it to. Our admin team will see that you have chosen the cheque payment option on the form and send you an email reminder of the address when your booking form is processed.
You can also request a printable version of the booking form to complete and send with your cheque if you prefer to not book online. Just email email@example.com for more info.
Cancellation & Refunds; We do not offer refunds on cancellations less than 14 days before the event, or for non-attendance. If you know you are going to be unable to attend please contact us via email in advance to notify us. If you can still attend but wish to amend your booking and downsize, again please contact us via email with details and we can arrange for the difference to be refunded post-event by personal cheque. All notification must reach us no less than 14 days before the event. Please be aware the minimum booking fee is £80. firstname.lastname@example.org
Authorised traders' vehicles are permitted on site for offloading of stalls & merchandise only. Traders will be given an arrival slot, to be arranged nearer the time of the festival and will not be able to enter the site earlier than that slot. This is to allow vehicles crucial to site manangement to access the site for festival set up. On arrival all traders must follow the instructions of the Traffic Management team regarding where to park and wait to ensure other authorised vehicles can still gain access to the site.
All vehicles must be unloaded and offsite by 11.30am. No vehicle will be permitted to remain on site after this time (except for special circumstances discussed and authorised prior to the event). If you do have a specific reason to request that your vehicle remain onsite (and stationary) during the festival, such as access needs for blue badge holders, then please contact us with details at email@example.com.
No vehicle will be allowed on site unless it is displaying a vehicle pass matching the traders booking. You can request a vehicle pass on the booking form. Vehicle details must match those supplied on your booking form. If you are hiring a vehicle, or your vehicle changes before the event please let us know immediately so that changes can be made. Please be aware, vehicle access is restricted to ONE vehicle per trader booking.
Vehicle access to the event is via the Arboretum Street entrance. The entrance will be clearly marked, and a marshal will greet you at the gate and instruct you further. Traffic management and speed restrictions are in place so please keep your speed at 5mph whilst driving on site and follow the designated routes.
Vehicles are not permitted to return to site to pack up before 6.30pm. This is to let the festival-goers to sufficiently disperse to allow vehicles to safely navigate the site. If the site manager does not consider the site to be safely accessible by 6.30pm, then vehicles may be asked to wait at the gate.
